Description:Our Hillsboro, OR location is currently accepting resumes for a full time Project Administration Manager.
Duties:•Serves as a Lead for Project Administrators Level 1-3.
•Develops processes for Project Administration team.
•Serves as liaison between Senior Management and Project Administrators
•Provide backup for team members.
•Assures that work produced meets standards and expectations of company management.
•Conducts periodic reviews with team members to anticipate project roadblocks.
•Responsible for scheduling adequate coverage for vacation schedules.
•Assigns/coordinates adhoc work assignments.
•Creates mentor program for new hires.
•Works closely with PMs to determine hiring needs for projects.
•Supervises set up and close out of projects.
•Ensures that paper and electronic files are complete and organized.
•Coordinate specification updates and issuances with engineering team.
•Coordinates issuances of deliverables with engineering team
•Prepares / process RFIs, Submittals, Transmittals, etc. (including maintaining project logs)
•Log and deliver incoming correspondence.
•Sets up project procedures specific for that client.
•Assists in team space preparation including computer and IT needs.
•Works closely and develops with Lead Project Manager daily activity assignments.
•Works closely with project team with document control.
•Helps the PM with schedule driven deadlines and the needs associated to deliver to client.
•Assists in Procurement on internal and external needs.
•Assist in training Level 1- 3 Project Administrators.
•Maintains and updates project files properly and in a timely manner.
•Demonstrates ability to interact and work well as a team member and to respond to assignments given in a positive, professional manner.
•Prepare and issue Staff meeting minutes.
Qualifications:•Excellent computer skills and familiarity with MS Word, Excel, Outlook
•Effective organizational, communication and impromptu problem solving skills
•Ability to work in a customer-focused, team-based environment
•Professional conduct, appearance and high respect for confidentiality
